Ausbelle Trading Inc, doing business as Ausbel Health (“we,” “us,” or “our”), operates the Ausbel Health platform at ausbel.com. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform.
1. Information We Collect
1.1 Clinic Account Information
When you register, we collect: clinic name, address, phone number, email address, NPI number, and Tax ID (EIN or SSN). This information is used to set up your account and, where applicable, to facilitate insurance transactions on your behalf.
1.2 Patient Information
Clinics enter patient data including: names, dates of birth, phone numbers, email addresses, insurance information, and health-related information such as treatment notes, diagnoses, and billing records. This data is entered and managed by the clinic. Ausbel Health processes this data on behalf of the clinic as a Business Associate under HIPAA.
1.3 Appointment and Scheduling Data
We collect appointment dates, times, service types, and practitioner assignments to provide scheduling services.
1.4 Payment Information
Clinic subscription payments are processed by Stripe. We do not store credit card numbers. Patient payment records (copays, balances) are recorded for bookkeeping purposes but patient payments are not processed through our platform.
1.5 Usage Data
We collect standard usage data including browser type, device information, pages visited, and feature usage to improve our platform.
1.6 Google Calendar Data
If you connect Google Calendar, we access your calendar to create, update, and delete appointment events. Calendar events only include appointment date/time, patient first name, and visit type. We do not access or store other Google account data.
2. How We Use Information
We use collected information to:
- Provide and maintain the Ausbel Health platform
- Process insurance eligibility checks and claims on behalf of clinics
- Send appointment reminders and notifications via SMS and email
- Generate AI-powered treatment summaries and billing code suggestions
- Provide customer support
- Improve our platform and develop new features
3. HIPAA Compliance
Ausbel Health operates as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA). We enter into a Business Associate Agreement (BAA) with each clinic during onboarding. Protected Health Information (PHI) is:
- Encrypted in transit (TLS 1.2+) and at rest (AES-256)
- Stored on HIPAA-compliant infrastructure (Amazon Web Services)
- Accessible only to authorized clinic staff based on role-based permissions
- Subject to automatic session timeout
- Never sold to third parties
- Never used for advertising
4. Third-Party Services
We use the following third-party services to operate our platform:
- Amazon Web Services (AWS): Cloud infrastructure, database, file storage, AI services, email, and SMS
- Stedi: Insurance eligibility verification and claims processing
- Stripe: Clinic subscription billing
- Vercel: Application hosting
- Google Calendar API: Optional calendar synchronization
Each third-party provider has been selected for their security practices and, where applicable, HIPAA compliance. We maintain appropriate agreements with each provider.
5. Data Sharing
We do not sell, rent, or trade personal information. We share data only:
- With third-party service providers listed above, solely to operate the platform
- With insurance payers, as directed by the clinic for eligibility and claims processing
- As required by law, regulation, or legal process
- To protect the rights, safety, or property of Ausbel Health, our users, or the public
6. Data Retention
- Clinic and patient data: Retained as long as the clinic account is active, plus 30 days after trial expiration or account cancellation
- Insurance transaction records: Retained for 7 years per healthcare industry requirements
- Usage data: Retained for 12 months
7. Data Security
We implement industry-standard security measures including:
- Encryption in transit and at rest
- Role-based access controls
- Automatic session timeout
- Regular security assessments
- HIPAA-compliant infrastructure and procedures
8. Your Rights
Clinic administrators may:
- Access, update, or delete clinic and patient data through the platform
- Export data upon request
- Request account deletion by contacting support@ausbel.com
9. Cookies
We use essential cookies for authentication and session management. We do not use advertising or tracking cookies.
10. Children’s Privacy
Our platform is designed for healthcare providers and is not directed at individuals under 18. We do not knowingly collect information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes via email.
